J-1 Office/Sales Assistant Paid Internship

Basic Function:
To provide exceptional customer service and total support to the sales staff and to perform office administration duties as required.
Office Assistant Responsibilities:
1. Create daily cash receipts journal and sales journal for both store locations.
2. Balance month end.
3. Create necessary forms for the bookkeeper to include daily transaction receipts, end-of-month reports, sales commission journals and credit card/cash journals for month end closing.
4. Track daily commissions for all sales associates.
5. Compile bank deposits and input on computer each day to balance journals (sales and cash receipts journals).
6. Operate and troubleshoot standard office equipment efficiently to include:
- calculator
- photocopy machine - multi-line telephone
- computer with printer - fax machine
7. Print and review the following computer reports for accuracy and submit to bookkeeper for month end close:
- daily transaction receipts - credit card/cash journals
- sales commission journals
- end of month reports
8. Organize month end materials in folder and back-up computer monthly.
9. Respond to all vendor inquiries in a courteous manner.
10. Perform other related duties as assigned.
Sales Assistant Responsibilities:
11. Provide exceptional customer service and support sales staff by greeting customers, answering telephones and answering questions when appropriate.
12. Prepare product displays each morning ensuring that merchandise is handled with care and is clean and organized.
13. Ensure that jewelry and display cases and windows remain clean throughout the day.
14. Maintain a neat and orderly store at all times to include dusting, vacuuming, and cleaning glass cases and windows. Upon opening and closing remove trash, vacuum, and clean all glass.
15. Adhere to all opening and closing procedures with regards to safety and security.
16. Complete opening merchandise count to balance according to specific procedures. Books must be rotated daily and any discrepancy reported to management immediately
17. Assist customers with credit applications, lay-away transactions, repairs and special orders.
18. Receive payments from customers, operate cash register and credit card machine and return appropriate change as needed.
19. Assist customers with repair drop-offs and pick-ups.
20. Attend training sessions and meetings given by management and vendors to develop product knowledge and maintain store regulations.
21. Receive and resolve customer complaints and problems within a timely manner. Allocate to store manager when appropriate.
22. Understand and support sales policies and procedures to provide proper and effective treatment to all customers.
23. Operate computer system to complete transactions, check pricing and stock availability, locate merchandise, and retrieve customer information.
24. Perform other related duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is regularly required to stand and/or sit for long periods of time; use hands; reach with hands and arms; walk; and talk and hear. The employee is occasionally required to climb or balance and bend, stoop or crouch. The employee must frequently lift and/or move up to 25 pounds.
Experience:
Prior customer service and accounting experience helpful.
Salary: $10-$12/hour
